Royal Garden Care is my gardening business in Royal Leamington Spa. Every round, quote, invoice, pay run and tax return goes through Capybase, and did for a long time before it was ever for sale.
Worth being straight about it: that is not an independent reference, it is the same person. What it does mean is that nothing ships until it has survived a wet Tuesday on a real round, and that the person who fixes it is the person it lets down.
Running the work is the easy part.
Every one of these is a job you already did. The work was never the problem — it is the hour after you get home.

If you invoice for time on site, it fits.
It was built for a gardening round, but nothing in it is about grass. Any trade that books jobs, sends people to them and bills afterwards works the same way.
£25 a month, and the first one is free.
Run it properly for a month before you pay anything — your own clients, your own round, not a sandbox. After that it is one flat fee: no per-user charge as you take someone on, nothing extra for invoicing or payroll, and no annual contract. Your data is a file you can export and take with you the day you leave.

Is there a free trial?
Your first month is free, on your own data rather than a sandbox — no card up front, and if you walk away at the end you owe nothing. There is also a demo login with a week of example work in it if you would rather look round before you commit to setting anything up.
What does it cost, and is there a charge per user?
£25 a month, and that is the whole price list. No per-user charge as you take someone on, nothing extra for invoicing or payroll, and no annual contract to sign.
Is it any use if it is just me?
That is who it was built for. It runs from one person up to about ten — the point at which the person doing the books stops being the person in the van.
Is it only for gardeners?
No. It was built for a gardening round, but nothing in it is about grass. Gardeners, cleaners, electricians, plumbers, window cleaners and handymen all book jobs, send people to them and bill afterwards the same way.
Does it work on a phone?
Yes. Your crew use the phone app on site, and the office side runs in a browser on whatever you already have.
Can it take card payments?
Through your own Stripe account, so the money lands in your bank rather than mine.
Can I get my data back out?
Any time, for nothing. Your data is a file you can export and take with you the day you leave.
Will my accountant be able to work with it?
There is a Sage export and a monthly summary, so what you hand over at the end of the tax year is a pack rather than a carrier bag of receipts.
What happens to my data if something goes wrong?
It is backed up every night, with a copy kept offsite.
Can you build something specific for my trade?
Usually, yes. Tell me what the job is and I will quote it before I start; if you go ahead it is built into your Capybase, kept working, and added to your monthly. It stops when you stop. Everything already on this page stays in the £25.
